CASE STUDY 1:

Emergency Veterinary Clinic (1 Server & 7 Workstations):

Server:

The hospital has a single Windows 2003 Server running Terminal Services.  The machine houses the AVImark application, which conducts all the intake, outpatient, and billing procedures.  Without this system the hospital’s looses the ability to efficiently track, process, and bill their clients.  The business does not shut down if the system should fail, and is therefore not mission critical.

Workstations:

There are 7 Workstations using the Terminal Service Client to establish a session to use AVImark.

Technical Personnel:

Aside from the Hospital Manager, there is no one on site who can administer the system.  The owner is completely security paranoid and has no interest in dealing with the computer systems.  “I don’t want to deal with the computers, just make them work!” is her statement.

Problem:

If there is an issue, the owner needs the system repaired as soon as possible.  To make matters even more challenging, their hours of operations are from 6 pm – 6 am M-F and 24x7 on Saturday and Sunday.  It became a consideration to hire a part-time employee to administer the system.  The part-time employee would cost the hospital $15,000 per year including the associated overhead in having the employee.

Solution:

Monthly Secure Remote Maintenance:

Server Diagnostic:  1 Server X  $40/mo...                                                                                 $40 /mo
Workstation Diagnostic:  7 Workstations X  $25/mo...                                                              $175/mo

PREMIER SERVICEMonthly Secure Remote Maintenance:                                                 $380/mo

Since there is not enough work to warrant 20 hours per month,
the PREMIER plan will suffice. During the contract, the average
time spent on site was about 4 hours per month ($380).

Total Yearly Investment:  $7,140
Total Yearly Savings:  $7,860

CASE STUDY 2:

Travel Agency (2 Servers & 21 Workstations)

Server:

There are 2 Windows 2003 Servers.  The first one is installed with Terminal Services, and the other as the Domain Controller that houses critical client information.  The machines integrate together to serve the travel agents who use a combination of the SABRE and APOLLO applications, which process all the travel requests.  Without this system operational the business cannot operate.

Workstations:

There are 5 Remote Laptops (sales people in the field) using the Terminal Service Client to establish a session to use the Apollo system.  There are 14 desktops configured to use either Apollo or SABRE on location.

Technical Personnel:

The IT staff (of one) is located in Virginia and has to either tele-commute (time allowing) or visits the site to administer issues.

Problem:

Despite being a travel agency, they were spending thousands of dollars in travel expenses (Air Fare, Per Diem, Accommodations, etc) while shipping this individual back and forth from Virginia to San Diego.  Man-days of work are lost during the travel and the minimum time to address a critical issue on site was 24 hours, which translates to $10,000s in lost revenue and wasted man-hours as the agency sits idle waiting for help.  Hiring a qualified full-time technician would cost at least $40,000 and was more expensive than the existing solution, however inefficient it was.

Solution:

Monthly Secure Remote Maintenance:

Server Diagnostic:  2 Servers X  $40/mo...                                                                          No Charge
Workstation Diagnostic:  21 Workstations X  $25/mo...                                                       No Charge

ELITE SERVICE – Regularly Scheduled Tech On Site:                                                      $1,600/month

Since there are 2 Servers and only 19 workstations, it was recommended
that the 20 Hours Per Month - ELITE level of service was the best fit.
A designated tech is on-site to service all of their immediate needs at
5 hours a week. At no extra charge, the technician also performs the
Machine Monthly Maintenance tasks as described in the PREMIER service plan.

Total Yearly Investment:  $19,200
Total Yearly Savings:  $20,800
Plus countless of man-hours saved

CASE STUDY 3:

Accounting Firm (2 Servers & 60 Workstations)

Server:

There is 1 Windows 2003 Server that operates as the Exchange Server, & Domain controller.
The Second Server operates as the File Server where the company’s client information resides.

Workstations:

There are 60 desktops configured to use the various accounting software packages as well as 10 remote users the use VPN technology to enable work from home.

Technical Personnel:

A full time high-level MIS person would be needed to administer this operation.  This would cost the corporation $75,000 per year plus benefit overhead (calculated at 1.2 times the salary) for a yearly figure of  $90,000 per year.

Problem:

The corporation is trying to find ways to streamline their business by cutting down costs without sacrificing quality of service.  Since it is a CPA firm, computer downtime during business hours is quite costly and unacceptable.

Solution:

Monthly Secure Remote Maintenance:

Server Diagnostic:  2 Servers X  $40/mo...                                                                          No Charge
Workstation Diagnostic:  60 Workstations X  $25/mo...                                                       No Charge

ELITE SERVICE – Regularly Scheduled Tech On Site:                                                        $2,800/mo

Since there are 2 servers and over 60 workstations, there is enough work
to warrant at least 40 hours per month.  The client elected to go with
40 Hours Per Month - ELITE
level of Service. The client has since been
averaging 50 hours per month (10 hours $700/month above their guarantee).
For a total of $3,500 per month, they have all of their Systems closely monitored.
To date they have not had any downtime during business hours and have prevented
all of the viruses that have closed down many other businesses last year.

Total Yearly Investment:  $42,000
Total Yearly Savings:  $48,000

ELITE SERVICE – Regularly Scheduled Tech On Site:                                                        $4,800/mo
